Monthly Dances
President is listed as contact for the chapter. He returns telephone calls the evening before the dance to let people know class schedule, location, dress code. During the month he usually answers 5 to 10 emails from people new to the area/coming to the area about our dance schedule, as well as dance activities throughout the month.
On Dance Saturdays - he organizes the list of announcements for that evening, prints the activity sign that is posted on the USA Dance cork board, and brings extra copies of the membership form to the dance. He prints out the membership list that we use for check-end (which is usually done by the membership committee). He prints out copies of the guest form that non-members sign when they come to the dance. Set-up begins for the evening including putting out tables and chairs, helping the food/decoration/music committees unload their cars, and carrying supplies inside.
Before the lesson, he introduces the guest instructor to the crowd.
During the dance, he presents announcements.
After the dance, he helps with clean-up and makes sure the lights are shut off and the door is locked.
Chapter Related Activities
The President sends out announcements to local papers and radio stations with information on the next upcoming dance. Because of time restrictions, one announcement goes out about the dance that will be held the following month.
Every other month, the President writes an article for the newsletter. This article includes information on the next two monthly dances. Prior to writing the article, he works with the Lesson Coordinator on who will be teaching the lessons for those dances. He also helps proof-read the monthly newsletter. He updates our chapter's membership list from information that the national office sends. He is responsible for mailing membership forms and for sending the fees taken at the door of our monthly dances to the national membership office. He also coordinates mailings with the Newsletter mailing committee.
The President is the contact with the Highland United Methodist Church. He is responsible for the monthly floor rental fees and works with them on any scheduling problems.
In January/February of every year, it is the President's responsibility to fill out the chapter's yearly report. This covers what activities the chapter accomplished the previous year, as well as plans for the upcoming year. This is an important function as it helps the chapter get rebates from the National office.
Board/Committee Related
The President is responsible for writing the agenda for monthly/bi-monthly meetings and presenting goals for the upcoming year to the board. He is responsible for communicating upcoming actions to the various committees. He also works with the decoration committees on ideas for upcoming dances.
Along with the Treasurer, the President is the liaison for the dances at the Armory. They make sure the Armory gets payment for the dance; the floor lay-out(table placements) gets sent to the armory; extra food/music and decorations are set up for the Armory Dance. The President may also work with the Durham police to get police stationed at the dance.
Special events
In the past, the President was the lead contact for fall workshops. This included helping to recruit instructors, booking plane flights, and arranging room and board. The President was responsible for taking in workshop registration and answering phone calls and emails with workshop related questions.
Miscellaneous
The President is also responsible for recruiting other board members and making sure that committee positions get filled. The President is ready to fill critical positions if no volunteers can be found. In the past, he has handled newsletter mailing; membership; and, briefly, the library; and been responsible for making sure elections take place in the fall.
The President must be able to plan into the future and be flexible enough to make changes in the present.

The Vice President's main responsibilities are to take over the President's position in the event the President cannot finish his term, and to fill in for the President at monthly dances if the President is sick or out of town. Also, the Vice President is a voting board member and attends board meetings held every six weeks or so. Additional duties include being at the monthly dances each month at 6 PM to help set up for the dances, and helping with clean up after the dances.

Get check signing authorization for new board members at the beginning of the year. (This is a duty of the previous year's Treasurer.) The bank needs the names of the new chapter officers to print a new signature card, as well as the names of the USA Dance National Secretary and Treasurer, who co-sign as well. The signature card is then signed by each chapter officer and forwarded to the National Treasurer for signature who returns it to the bank after the National Secretary signs it.
Complete the annual financial report for the past year, including maintaining the cash receipts and cash disbursement journals - also the responsibility of the previous year's Treasurer. The report is completed, audited, and sent to National by March 31. This is the largest single task for the Treasurer.
Balance the checking account and complete the bank reconciliation form each month.
Day of the dance:
- Arrive at the dance at about 6:30 to turn the cash box over to the person at the desk.
- Pay the instructor of the lesson and pay other expense reimbursements that come in. Make sure receipts are attached when appropriate and make sure the form is properly filled out.
- Verify the revenue amount counted at the front desk, complete the cash receipts form, and close the cash box. Compare head count with cash received. Turn member list, guest list, membership forms, etc., over to the President and pay the person working the front desk.
- Write a check to National for the membership dues received.
After the dance:
- Deposit proceeds in the bank.
- Make sure there are sufficient small bills in the cash box.
Attend chapter board meetings which occur approximately 8 times a year.

The Lesson Coordinator is responsible for arranging the lessons offered before each monthly dance.

The Editor is responsible for putting the newsletter together and coordinating newsletter mailings. The Editor also edits articles submitted for inclusion in the newsletter. The Editor provides a copy of the newsletter in pdf format for inclusion on the website.

The Webmaster keeps this Triangle USA Dance website up-to-date in regards to the bi-monthly newsletter and special events page. The Webmaster may make suggestions for improving the website and responds to suggestions made by other members of the organization and board.
